JOB PURPOSE:
The Inclusion Support Center Assistant is responsible for providing administrative support to the Inclusion Support Center Manager and coordinating and maintaining scheduling for KIT's Inclusion Support Center staff.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- General Administration & Reporting
- Monitors all Inclusion Support Center (ISC) online, email, and phone appointment requests regarding military affiliated and public programs and responds within one business day.
- Schedules ISC appointments for multiple Specialists across up to sixteen time zones.
- Identifies priority calls during intake and schedule all requests based on triage system.
- Coordinates and serves as the administrator for the online scheduling system for ISC appointments.
- Reserves video conference or phone conference bridge for ISC consultations when requested.
- Manages waitlist for maximum efficiency and increased appointment utilization.
- Assists Inclusion Support Center Manager with Salesforce data management.
- Enters all ISC related intake data and updates records in Salesforce.
- Tracks partner organizations for contract eligibility and usage.
- Conducts outreach to providers and sites with active contracts that are not currently maximizing the ISC service.
- Communicates effectively with the Content Department/eResponders with KIT Academy requests within one business day.
- Attends regular Inclusion Support Center staff meetings, monthly KIT staff meetings and other meetings, as assigned.
- Specialist Support
- Efficiently schedules appointment requests and monitors established timelines.
- Maintains the ISC schedule using Outlook calendars according to need and availability.
- Promptly reschedules ISC calls, as needed.
- Schedules follow up requests in a timely manner.
- Customer Service
- Provides responsive telephone customer service for the ISC.
- Maintains a positive, empathetic, and professional attitude toward providers at all times.
- Contacts providers and staff regarding day-to-day changes.
- Program Department Administration
- Conducts weekly shipping and distribution operations, as needed.
- Communicates and coordinates material delivery with customers.
- Uses Salesforce to track all material requests and order details.
- Elevates issues regarding shipping operations to Program and Talent Operations Director.

QUALIFICATIONS:
- Education
- High School Diploma or Equivalent (GED) – Required
- Associate’s or Bachelor’s Degree a plus
- Experience
- Proficient in Microsoft Office: Outlook
- Fluency in Microsoft Office Suite: Excel, Word, PowerPoint
- Proficient in CRM (Salesforce) preferred
- Ability to multi-task
